A Northwell My Experience PTO question usually involves one of three things: how much time you have earned, how much time is available to use or whether an absence has been approved. A balance alone does not answer all three.
Northwell’s July 2026 team member handbook explains that PTO amounts vary with factors including benefit group, service and location. It also identifies separate rules for statutory safe and sick time and explains that applicable collective bargaining terms take precedence over conflicting handbook provisions.
That makes your own classification and policy the starting point. A coworker’s balance or an online estimate cannot establish your entitlement.
Identify the kind of time you are reviewing
Before calculating a discrepancy, record the exact label attached to the balance. Do not combine PTO, holiday time and another leave category merely because all of them involve time away from work.
Next, identify the date associated with the figure. A balance viewed today may reflect the most recently processed period rather than every change you expect. If the screen does not make that clear, ask which period the balance includes.
Also check the unit. Hours and days are not interchangeable without knowing how the relevant schedule and policy define a day. For someone working different shift lengths, converting a balance into “days off” can create an inaccurate expectation.
Reconcile the movement between two balances
Compare two dated records rather than relying on memory. Note the earlier balance, subsequent accruals, recorded usage and any adjustment shown.
Here is an illustrative calculation, not a Northwell accrual formula:

If the displayed result is 24 hours, the useful question is what additional entry explains the four-hour difference. It might require a review of recorded usage, an adjustment or the period you selected. The arithmetic alone does not establish that payroll made an error.
Keep pending requests separate until you know how the system treats them. Ask whether the balance already accounts for a future approved absence before subtracting that time again.
Check approval separately from available hours
Having enough hours is only one part of planning an absence. For a planned vacation, confirm the request’s status and the dates actually approved.
A useful personal record includes the requested dates, hours, submission date and approval response. If you change your plans, confirm that the original request has been changed or cancelled through the required process. Otherwise, you may be comparing a revised plan with an unchanged record.

Treat an unexpected absence according to its own process
A planned vacation request and an unexpected illness should not automatically be handled in the same way. Follow the applicable reporting instructions for the reason you are absent.

Connect a time issue to the correct paycheck
If the concern also affects pay, identify the absence date and the payroll period. A time entry and its financial effect may appear in different records.

A precise inquiry could say:
My balance dated [date] is [hours]. I am comparing it with [earlier record] and the absence on [date]. Please explain which accrual, usage or adjustment entries are included.
Confirm what happens to unused time when leaving
Do not turn a visible PTO balance into an assumed final payment. Northwell’s handbook directs employees to HR for accrued-time payout guidelines and notes that payout can depend on the circumstances of separation.
